Two projects with the same land area can need very different amounts of consulting work. A standard warehouse on a clear site is not the same as a logistics center with a container yard, cold storage, a rail spur and several investment phases. A reliable quote must therefore start from the scope of work and the deliverables, not from a flat percentage.
1. The project stage determines the type of documents
Pre-feasibility study, detailed master plan, feasibility study report, basic design, detailed design after basic design, and tender documents are different products. If the owner only says "design a logistics center" without defining the stage, the two sides can easily have different understandings of the scope.
2. The less input data, the larger the survey scope
Land boundaries, topography, geology, cargo sources, peak hours, vehicle types, connection requirements and operating standards are the minimum inputs. When data is missing, the consultant has to add surveys, collect data or build multiple scenarios. This should be shown separately in the quote rather than hidden in a lump-sum figure.
3. Complexity is not proportional to area
Costs often rise when a project has many crossing traffic flows, temperature-controlled warehouses, container yards, automated equipment, BIM requirements, operations simulation or many infrastructure connection points. A small site with a high density of technology may require more engineering hours than a large site with standard warehouses.
4. The number of options and revision rounds must be fixed
The quotation should clearly state the number of preliminary options, feedback rounds and meetings, and how changes to the brief by the project owner will be handled. This is usually where the largest cost overruns arise, but it is also the easiest to control if agreed from the start.
5. Discipline scope and procedures have a direct impact
Architecture, structure, internal roads, site grading, drainage, electrical, fire protection, warehouse technology, environment and cost estimates may be handled by a single lead firm or by several subcontractors. Define whether the consultant only prepares technical documents or also supports clarifications, review, appraisal and liaison with the authorities.
6. How to request a comparable quote
A good quote request should include: investment objective, location and area, design stage, expected throughput or capacity, list of works, existing data, handover format, schedule and approval contact. Asking all firms to fill in the same scope table makes it possible to compare actual scope rather than just the bottom-line figure.
